Parent Commitment
Roles & Responsibilities

Thank you for working with us to make KAT run smoothly and efficiently. Our parent volunteers are ESSENTIAL to our success! Here are some basic instructions to help your day run smoothly. Times and details for each shift are found below. ​

  • Report to the building supervisor in the foyer when you arrive. 

  • Wear comfortable shoes and wear clothing appropriate to the KAT dress code.

  • If you have a conflict with your schedule monitoring date(s), please email the Building Supervisor at bsuper@kalamazoo-area-tutors.com. Or submit a request; the link is at the end of the page.  

  • If you drop your classes at KAT, please notify us so that we can fill your monitoring date(s) or clarify your monitoring requirements and make changes accordingly.

Full Day/Half Day Monitor

Monitor students in the study hall with a partner to ensure compliance with rules regarding noise, respect, and dress code, and assist them to classes. Because this commitment requires your full focus, please arrange alternative supervision for toddlers or preschoolers. Small nursing infants are always welcome. School-aged children are also welcome, provided their homework is prepared in advance so they can work independently. At the end of the day, help maintain the room by wiping tables, vacuuming floors, and stacking chairs.

The Half Day Monitor can choose to serve from 7:40am to 12:05pm or 11:50am - 4:15pm.  If serving from 7:40am - 12:05pm, Monitors should arrive by 7:40 to attend the Informational Meeting.  If serving from 11:50am - 4:15pm, Monitors should arrive by 11:50pm for the Instructional Meeting.

Half Day Monitor

The Half Day Monitor can choose to serve from 7:40am to 12:05pm or 11:50am - 4:15pm. If serving from 7:40am - 12:05pm, Monitors should arrive by 7:40 to attend the Informational Meeting. If serving from 11:50am - 4:15pm, Monitors should arrive by 11:50pm for the Instructional Meeting.

The Full Day Monitor should arrive at 7:45am to help complete setup and for an Instructional Meeting.  Dismissal is at 4:15pm.

Tear Down/Setup/Cleaning Crew

Parents will serve seven or eight consecutive weeks according to a set schedule. Physically able teens can work with their parent and reduce a two-session commitment to one session. Children are welcome to come with the parent and can assist in moving chairs or light supplies.  Crew volunteers will be responsible for finding substitutes from others on their crew should they be unable to come due to sickness or schedule conflict. *Note: Set Up/Tear Down Crew is a job that requires the heavy lifting of tables and lots of walking around, so please only consider this if you are physically able.

Set Up Crew

Set Up Crew

The Set Up Crew is responsible for moving stacked padded chairs, setting up tables and chairs for classrooms, and distributing necessary supplies. The time commitment is from 6:45am to 8am.

Tear Down Crew

Tear Down Crew

The Tear Down Crew is responsible for stacking padded chairs higher than chest height and moving them with wheeled carts, and collecting necessary supplies. The time commitment is from 3:30pm to 4:45pm.

Cleaning Crew

Cleaning Crew

The Cleaning Crew is responsible for collecting trash (from classrooms, study halls, and bathrooms), cleaning bathrooms, and vacuuming/sweeping classrooms once the tables have been removed. The time commitment is from 3:30pm to 4:45pm.

These Parent Commitments fulfill all volunteer hours.

Pizza Day Distrubtor

Coffee Station Coordinator (afternoon shift)

The Coffee Station Coordinator for the afternoon shift cleans and stores the Keurig coffee machine, condiments, and water bottles weekly by 3:45 PM. The coordinator monitors the inventory of coffee and condiments, purchasing restock items upfront using personal funds and submitting retail receipts to the KAT Treasurer for complete reimbursement. This position is ideal for a parent who is already present at KAT during the fifth period. The Coordinator must arrange a reliable backup person to fulfill the duties in the event of illness. The weekly time commitment for this position is less than 15 minutes.

Lanyard Coordinator

The Lanyard Coordinator maintains the organization and cleanliness of all student lanyards from week to week, ensuring cords are neatly wrapped and lanyards are returned in structured rows. The Parent must be available for a weekly drop-off at 7:45 AM and a pick-up at 4:15 PM, making this role ideal for a family living near KAT who might otherwise have difficulty fulfilling traditional monitoring duties. This position requires a one-semester commitment, and the coordinator must arrange a reliable backup person to cover the duties in the event of illness. The estimated time commitment is approximately one hour of weekly management outside of the scheduled drop-off and pick-up times.

Coffee Station Coordinator (morning shift)

The Coffee Station Coordinator for the morning shift sets up the Keurig coffee machine, condiments, and water bottles weekly by 8:30 AM. The coordinator is responsible for bringing two gallons of filtered water each week to use in the machine, making this position ideal for a parent who is already present at KAT during the first period. This role requires a one-semester commitment, and the Coordinator must arrange a reliable backup person to fulfill the duties in the event of illness. The weekly time commitment for this position is less than 15 minutes.

These Parent Commitments fulfill all volunteer hours and include family registration.

Pizza Day Coordinator

Pizza Day Coordinator

The Pizza Day Coordinator is responsible for maintaining pizza orders and utilizing a reliable check-off system to track student order pickups. One week prior to the delivery date, the Pizza Coordinator will submit the final order to Cottage Inn Pizza, coordinating with the KAT Treasurer to have the correct payment check prepared for the delivery driver. This position also oversees the food distribution on the second Monday of each month from October through May and is responsible for purchasing soda upfront using personal funds (shop as needed) and submit the retail receipts to the KAT Treasurer for complete reimbursement.

The estimated time commitment is a monthly time commitment at KAT (from 10:45am – 11:45am), 1-2 hours of data management per month during the KAT school year and approximately 3 hours of data entry (to create the tracking system) in the summer.

The Website IT parent is responsible for domain maintenance and updates for the KAT website.

Student Council Advisor

Student Council Advisor

The Student Council Advisor is responsible for mentoring a group of approximately ten members to plan and execute a variety of school activities, including monthly newsletters, daily discussion questions, Spirit Weeks, potlucks, bake sales, field trips, and student events. This parent will host an initial summer planning meeting dedicated to brainstorming, strategy, and team building, followed by regular monthly meetings throughout the school year to keep events on track. On-site duties include arriving at the end of the first period to set up the Student Council table with printouts and decorations, followed by managing a rotation schedule to ensure student members staff the table across subsequent periods. The estimated time commitment is 1-2 hours weekly outside of KAT.

Parent Advisory Committee (PAC) Member

Parent Advisory Committee (PAC) Member

The Parent Advisory Committee (PAC) Member is a dedicated volunteer position that serves the KAT community to support programmatic and administrative operations. Responsibilities include interviewing potential tutors in February, designing the course schedule during March and April, assisting with registration days on select Mondays in June and August from 9:00 AM to 3:00 PM, and helping with the spring tutor meeting on a Tuesday evening in April. Members also host a tutor brunch in December, support the Board as needed, maintain prompt email communication, uphold all KAT guidelines, and occasionally assist with special events like pizza days or picture days. The time commitment for this role is at least two years if possible and includes attending one and a half hour meetings on the first Monday of each month during the KAT school day, alongside the scheduled seasonal event hours.

Newsletter Coordinator

Newsletter Coordinator

The Newsletter Coordinator is responsible for compiling and distributing the weekly KAT newsletter. These duties include proactively staying informed of current homeschool events, activities, and educational opportunities in the greater Michigan area. Monitor Facebook pages and groups for community updates, field trips, and information from local organizations like the Kalamazoo Cougars, Kalamazoo Heart, HPA, and MiCHN. Review and accept newsletter entries submitted by members and community partners. Compile the gathered information and user entries into an engaging, easy-to-read, and well-formatted email. Oversee and maintain the database of current newsletter subscribers and manage the distribution of these curated updates, sending out the completed email newsletter to subscribers on a weekly or bi-weekly schedule. The estimated time commitment is 1-2 hours per week during the KAT school year.

Board Member

Board Member

The KAT Board Member position is a dedicated volunteer role that serves the KAT community for a term running from September to September. Responsibilities include assisting the PAC as needed, hosting a spring pizza lunch for tutors and students, communicating promptly via email, and enforcing all KAT participant guidelines and policies. To maintain organizational independence, board member families agree not to accept public school partnership funds for any child enrolled at KAT during their term of service. The time commitment for this role includes attending official meetings four times per year, responding to ongoing operational emails, and preparing for occasional community events as needed.

Prospective members must meet the following prerequisites:
•Homeschooling Experience: At least two years of elective homeschooling by choice.
•Community Involvement: At least two academic years of active KAT involvement as a family, tutor, or leader.
•Spiritual Alignment: Affirmation of the KAT Biblical Statement of Faith.
•Character Reference: A reference letter from a non-family member to whom the applicant is spiritually accountable, such as a pastor or elder.
•Background Clearance: Successful passing of an iChat background verification check.

Website Manager

Website Manager

The Website Manager is responsible for updating the KAT website, as needed. Updates include but not limited to tutor information, serving committments, schedules and general information, in addition to linking the newsletter to the website on a weekly basis. The estimated time commitment is 10-15 hours during the summer and less than 1 hour per week for maintenance during the KAT school year.
